INSIDE: Creating auditor access
As described in the editorial, companies need to archive business-related email correspondence and have to be prepared to have these inspected. With the E-Mail Archive Service from antispameurope, it is possible to store email traffic “audit-proof” on the one hand, and to create auditor access on the other. Here we will take a closer look at the steps to be taken by administrators.
Auditor access can be created in the archiving area in the domain configuration. In order to do this, select the “Management” area in the selection bar, then the domain to be audited. In the main window on the right side, click the “E-Mail”, “Archives” and “Audit” tabs.
Finally, tick “activate auditor access“ and enter the required information. For this purpose, the auditor’s email address must be entered. The auditor must be registered as a user in the Control Panel in order to do this.
The administrator must also enter the two time periods relevant to the audit: first of all, how long the auditor will obtain access to the email archive. During this time, the auditor will have access to all emails in the email archive in the given domain. However, this has its limits: the administrator will only allow access to those emails necessary for the audit. This is regulated by entering the dates. The auditor can therefore only view emails for a given time period. According to the “four-eye principle”, a second user needs to be specified to release the auditing process.
It is possible for the administrator to follow the auditing activities via a so-called auditing log. Here, a button is available under “Workplace” and “E-Mail Archive”. With a click on this button, a new window will open showing the auditing activities. The administrator can also view the checked emails here.
